Rent Smart Wales provides practical checklists and Welsh Government publishes Renting Homes forms and statements. GOV.UK and the Scottish Government provide their own national tenancy guidance and document routes.
Start with the legal event
Identify the country, tenancy or contract type, purpose and date before choosing a form.
- Distinguish an agreement, prescribed notice, information sheet and internal letter. They have different legal effects.
- Use the current official source and check its scope, version and commencement. A saved form may have been replaced.
- Read the notes and preconditions before completing the fields. A correctly filled form can still be unusable if the legal conditions are not met.
Complete and check the document
Use verified property and party information.
- Check names, addresses, dates, rent frequency and the applicable ground or provision. Resolve conflicting records before service.
- Preserve mandatory wording and review any alteration. Do not merge clauses from different countries' templates.
- Have consequential notices or unusual agreements checked by a suitably qualified adviser. Keep the exact final version.
Record delivery and subsequent events
Generating a document is not the same as serving or providing it correctly.
- Use a permitted delivery method and retain the evidence and service date.
- Record the next event, response or deadline separately. Check whether a deadline is calendar days, working days or months.
- If an error is found, preserve the original and obtain advice on correction. Do not edit a served document to conceal the mistake.
Example: the file name says current but the form is old
A fictional template downloaded last year is labelled current in a shared folder. Check the official publication before using it. A local file name is not evidence of the form's current legal status.
What to do
- Confirm country, tenancy type and intended use.
- Download from the official source and record the version.
- Check the completed wording, recipients and supporting evidence before issue.
Evidence to keep
- Template source and version
- Final document and delivery record
