Universal Credit can contribute to housing costs. The DWP landlord guidance explains managed payments and other arrangements. A benefit claim does not mean the full contractual rent will arrive directly or on the rent due date.

Reconcile before contacting the tenant

Compare the rent schedule with bank receipts, benefit payments, credits and any agreed changes.

  • Record each due date, amount due, payment date, payment received and running balance. Keep rent separate from charges or disputed repair deductions.
  • Check delayed transfers, incorrect references and payments held by an agent before saying money is missing.
  • Ask the tenant to identify any payment they believe has been omitted and correct proven errors transparently.

Find the cause and agree the next contact

A missed payment may be a short timing issue, an ongoing affordability gap, a benefit delay or a dispute.

  • Contact the tenant privately with the amount and period, invite a response and agree a realistic follow-up date. Avoid repeated unplanned calls.
  • Where benefits are involved, establish the relevant claim or payment issue with the tenant's cooperation. Do not ask for their online account password.
  • Consider a sustainable plan that includes current rent and an affordable arrears contribution. Encourage independent money advice where the shortfall is continuing.

Explore direct payments and lawful escalation

Managed payments and arrears deductions are separate arrangements and are subject to DWP or council decisions.

  • Check the current Universal Credit criteria and application route. Approval does not guarantee the full contractual rent or immediate payment.
  • Reconcile the first and later direct payments to the periods covered, including any remaining tenant contribution.
  • If informal steps fail, use the guide for the property's country before serving notices or bringing a claim. Check debt protections and repair or benefit disputes first.

Example: the benefit payment covers only part of the rent

A fictional rent is £800 and the confirmed housing payment is £650. A direct-payment arrangement still leaves a £150 monthly gap. The plan must explain how that gap and any existing arrears will be handled; direct payment alone does not clear the account.

What to do

  1. Reconcile receipts before contacting the tenant about arrears.
  2. Discuss the shortfall and record an affordable proposed arrangement.
  3. Check the DWP route and the national possession rules if escalation becomes necessary.
