Rent Smart Wales registration identifies the immediate landlord. A company must register in its own name. Separate ownership arrangements can need separate registrations; joint owners use a lead landlord for their joint registration.
Establish who the landlord is
Start with the ownership and letting arrangement. Registration belongs to the landlord, so a trading name or the person who receives the rent may not identify the correct applicant.
- Match the legal owner's name to the property records. For a company, check its registered name and number. Keep the company's registration separate from the personal registration of a director.
- For joint ownership, follow Rent Smart Wales's joint-landlord process and identify the lead landlord. Keep the other owners' details available rather than registering the property as if one person owned it alone.
- List every Welsh rental address covered by that landlord, including the correct flat or unit. A whole-building address can conceal missing flats in the registration record.
Registration and management are separate checks
An entry on the register does not establish that everyone carrying out letting or management work has the licence they need.
- Write down who advertises, selects contract-holders, prepares agreements, collects rent, arranges repairs and manages the letting. Compare the actual work with Rent Smart Wales's licensing guidance.
- If a licensed agent handles all relevant work, verify the agent's current licence and written appointment. Retain the owner's registration and check that the agent has recorded the correct property.
- Keep HMO licensing, planning permission and building control in separate records. Approval from one body does not answer the other questions.
Keep the record usable
Registration lasts five years. Set a reminder early enough to collect information and resolve discrepancies before renewal, with an owner responsible for the task.
- Save the registration number, registered entity, property list and expiry date together. Check the live record when taking over an existing letting.
- Review details after a purchase, sale, company change or change of contact address. Use the official update process and retain its confirmation.
- If the owner or property is missing from the record, contact Rent Smart Wales with the facts and correct it promptly. Do not backdate an application or describe an application as an approval.
Example: a director buys through a company
A fictional landlord already has a personal registration and then buys a flat through a limited company. The existing personal registration is not a shortcut for the company's ownership. Record the new legal owner, register it through the appropriate process and separately establish who will do the licensed management work.
